Fitness Studios & Gyms: Payroll Features Every Business Needs (2026)

Fitness businesses need payroll configured for trainer 1099 vs W-2 classification, commission-based training pay and class-based instructor pay, pay codes that general-purpose software leaves to the customer to build. BEG runs fitness business payroll for $45 per employee per month inside the payroll software you already use, all-inclusive, live in 3 to 5 business days.

Pay codes a fitness business cannot run without

Fitness businesses pay personal trainers and group fitness instructors on different bases, and the payroll system has to hold every one of them as its own pay code with the right tax and overtime treatment: trainer 1099 vs W-2 classification, commission-based training pay, class-based instructor pay and membership revenue sharing. A generic setup collapses these into hourly and salary, and the errors show up in the regular rate, in year-end forms and in the first wage claim.

A commissioned trainer can be exempt from overtime under FLSA section 7(i) only if three conditions are met: the employer is a retail or service establishment, the employee's regular rate exceeds one and one-half times the minimum wage for every hour worked in any week with overtime, and more than half of total earnings in a representative period of one month to one year are commissions. If any condition fails, overtime is due at time and one-half for hours over 40.

Tips paid by customers can never be counted as commissions for the section 7(i) exemption, and a retail or service establishment is one where 75 percent of annual dollar volume is not for resale and is recognized as retail in the industry. Mandatory service charges paid to service employees may count as commissions.

Tax handling specific to fitness businesses

Employees must report cash tips to the employer in a written statement by the 10th day of the following month unless total tips from that employer are under $20 for the month. The employer must withhold income tax and the employee share of Social Security and Medicare tax on reported tips and pay the employer share.

What is configured before the first run

At implementation every pay structure above is built as a code with its own taxability, its own overtime treatment and its own W-2 mapping, and the exemption status of personal trainers and group fitness instructors is documented against the rule that supports it. That is the difference between software with the features and a payroll that uses them correctly.

Frequently Asked Questions

How do you handle personal trainer classification?

We review trainer agreements against the IRS 20-factor test and help determine the correct classification. Misclassified trainers expose studios to back employment taxes and penalties.

Can you handle session-based commission pay for trainers?

Yes. Trainers paid per session have their comp calculated based on session logs submitted each pay period, with correct withholding applied.

Can you handle payroll for multiple studio locations?

Yes. Each location is a cost center, and you get labor cost by location for P&L analysis.

What does BEG charge for fitness studio payroll?

Fitness payroll runs at $45 per employee per month. For a 20-employee gym, that is $900 per month, all-inclusive, covering trainer commission, class-based pay, and year-end W-2s.
