Auto Dealerships: Year-End Payroll Checklist (2026)
Year-end payroll for auto dealerships is W-2s and any 1099-NEC to employees and contractors by January 31, the fourth-quarter 941 and annual 940, and the auto dealership items that decide which boxes are right: IRS Rev. Proc. 2001-56 and IRS Publication 15-B (2026). BEG: $45 per employee per month inside the payroll software you already use, live in 3 to 5 days.

Auto dealership items that shape the W-2 and 1099s
Under IRC section 132(j)(3), qualified demonstration use of a dealership vehicle by a full-time automobile salesperson is a working condition fringe excluded from wages, so the dealer does not withhold income tax or pay FICA on that value. The full exclusion requires use within the dealer's sales area (safe harbor radius of 75 miles) and personal use outside working hours, less commuting, averaging no more than 10 miles per day.
IRS Publication 15-B (2026) states that all use of a demonstrator car by a full-time auto salesperson in the sales area where the sales office is located generally qualifies as a working condition benefit if the use is primarily to facilitate the salesperson's services and there are substantial restrictions on personal use.
The January calendar
W-2s and W-3 to the SSA and copies to employees by January 31; 1099-NEC for each contractor paid $2,000 or more in the year, the threshold for tax years after 2025, by the same date; Form 940 and the fourth-quarter 941 by January 31 as well, with a 10-day extension where all deposits were on time. Ten or more information returns of any kind, counted together, must be filed electronically. For auto dealerships the reconciliation that matters is that the pay codes for front-end and back-end commission structures, flat-rate tech pay and F&I chargebacks landed in the right W-2 boxes for every employee.
